Volunteer Team

If accepted as a Volunteer for Sol Fest 2025, you’ll receive an email confirmation with Volunteer Agreement to sign. Volunteer position is not guaranteed until agreement has been received. Failure to submit agreement within 48 hours will result in the slot being offered to the next Volunteer in line on the Waiting List.

All Volunteers will be REQUIRED to attend a pre-con meeting 2 weeks before Sol Fest to run through the logistics, responsibilities and flow of events. This will take place via Zoom. Multiple meeting time options will be given and Volunteer must attend one of the Live sessions. There will not be a recording.

Volunteers acknowledge that they have voluntarily applied to work at Sol Fest. They understand that as a member of the Sol Fest Volunteer Team, they will not receive monetary compensation. They will, however, be compensated with (1) complimentary General Admission pass, Sol Fest staff t-shirt, and a meal voucher. 

The physical activities performed by the Volunteer may include (but are not limited to): standing/walking for several hours at a time, lifting up to 50 pounds, squatting, bending, and reaching. If any of these movement present a physical challenge - please indicate on your application above.

The duties/actions performed by the Volunteer may include (but are not limited to): checking in event-goers at the Registration Desk; supporting Vendors/Healers/Teachers with inquires and logistics; fielding questions by event-goers and directing them to the proper resource; emptying trash bins throughout the event and transferring bags to larger dumpsters; other duties as requested by Sol Fest Staff.

Volunteers will not be covered by nor eligible for any insurance coverage provided or maintained by Sol Fest and their respective employees, agents, officers, directors, trustees, shareholders, subcommittees, agents, members, employees, contractors, representatives, sponsors, volunteers, successors and assigns including but not limited to medical, property and liability insurance. Volunteers agree that Sol Fest may terminate their participation at any time for any reason.

Volunteers understand and acknowledge that in the event they are unable to fully execute and complete their scheduled shift(s), their festival pass and other compensation will not be honored.

Sol Fest reserves all rights to the use of its name, event name and/or its logos, trademarks or copyrights for any commercial purpose. Said use of any of the above or any merchandise for sale or giveaway is not authorized without the express written permission from Sol Fest. 

Personal literature and/or other promotional materials cannot be handed out or left for display, or otherwise distributed in any area other than the booth space at any time without express permission from Sol Fest.

Volunteers agree not to compromise the environment of the Liberty Park Property in any way, including but not limited to trimming trees or other flora, digging, or changing the landscape anywhere on the property without express permission from Sol Fest & Liberty Park Property. 

Volunteers agree to remove and properly dispose of any trash created during set up, run and break down of the festival, in designated receptacles.

Volunteer assumes all responsibility for loss, theft, or destruction of goods, or for personal injuries to himself/herself, visitors, and will indemnify and hold harmless Sol Fest, its officers, agents, employees, and affiliates from any and all liability and loss in connection with any and all the above including reasonable attorney’s fees.

Sol Fest events are being filmed and recorded. By agreeing, you consent to the possible reproduction of your likeness and/or voice, and products as well as the likeness/voice of any person representing your product or service, and you waive any claims in connection therewith.

The following release must be accepted and agreed to by each Volunteer:

In consideration of accepting this contract, I/we, the undersigned intending to be legally bound, hereby, for myself, my heirs, executors and administrators, waive and release any and all rights and claim for damages I may have against Sol Fest, Liberty Park Property, or any of the sponsors, officials, their representatives, successors, and assigns for any and all injuries suffered by me in said event. 

I further hereby agree to permit the free use of my name and picture in any broadcast, telecast, video, media or other public relations or coverage of the event, made or occurring prior to, during or after the event in perpetuity. Sol Fest reserves the right to reject any application and further reserves the right to change the details of this event without prior notice. This is an important legal document. Read carefully before accepting.

The event will be held rain or shine – no refunds. I have read and received a copy of the Sol Fest Terms & Conditions.
